STATIM Privacy Policy

1) Purpose and objectives

STATIM manages personal information in compliance with the Privacy Act 1988 (Cth) and the Privacy Amendment (Private Sector) Act 2000 (Cth). STATIM is committed to managing information under the principles of The Australian Privacy Principles (APP), from Schedule 1 of the Privacy Amendment (Enhancing Privacy Protection) Act 2012 (Cth). This policy outlines how we manage personal information.

2) Information collection

2.1 Process

When we collect your personal information: 

  • we check that it is reasonably necessary for our functions or activities as a nursing recruitment agency

  • we check that it is current, complete and accurate

  • we record and hold your information with FoundU Workforce Management Platform (FoundU Holdings Ltd, ABN 59603695914), an Australian Public Company whose Privacy Policy can be viewed at https://www.foundu.com.au/privacy-policy.

  • we destroy or de-identify your personal information when it is no longer needed for any purpose for which it may be used or disclosed provided that it is lawful for us to do so. We do not destroy or de-identify information that is contained in a Commonwealth Record

  • Methods of information collection may be, but not limited to:

    • application to join STATIM as a working partner, client or facility via foundU portal or email

    • during annual registration payment

    • direct from the individual such as uploading of documentation evidence

    • direct from the individual such as time sheet submission, shift requests, billing and invoicing, education requests

    • database searches such as AHPRA registrations or Criminal History Check

    • when corresponding with STATIM such as doing Referee checks

    • photography such as completing an Employee Photo ID

    • photocopying relevant documentation

2.2 Personal Information (working partners)

The type of information collected and held by us depends on the type of dealings that the individual has with our business.

The main purposes for collecting Personal Information is to identify and verify individuals, communicate with individuals, provide a focussed service, identify employment opportunities, maintain contemporary candidate profiles, assess amenability to work offers and work availability, manage the performance in work.

The following types of information will be collected from individuals:

  • name;

  • contact information, including email address;

  • date of birth;

  • gender;

  • demographic information, such as postcode and work preferences;

  • banking and other financial information, including Tax File Number;

  • work experience and qualifications;

  • next of kin;

  • photograph for ID card

  • Photocopies of 100 point identity check

  • AHPRA Registration Details (if applicable)

  • Mandatory Training Record

  • CV and correspondence

  • Work preferences and availability

  • Any compliments or complaints received as an individual

  • Referee name, contact details and completed reference (information is solely captured to make determinations re suitability for work against a Client/Facility opportunity)

2.3 Sensitive Information (working partners)

Sensitive Information is Personal Information, such as health information, that is generally afforded a higher level of privacy protection.

We only collect Sensitive Information where it is reasonably necessary for our business functions and either the use of Sensitive Information has been consented to, or the law requires us to do so (such as for matters of individual or public health and safety).

The following types of information may be collected from individuals:

  • an individual’s racial or ethnic origin;

  • health information, including vaccination status;

  • Criminal History Check/Record

2.4 Clients/Facilities

The type of information that we typically collect and hold about Clients is information that is necessary to help us manage the presentation and delivery of our services, ensure business relationships are proactively managed, statistical and statutory compliance requirements and contractual management. This includes:

  • contractual arrangements

  • Invoices and financial information including your ABN

  • Billing address including email address

  • Insurance details

  • Contact details of relevant staff and their phone numbers

  • Information in relation to any requests for work

  • Any incidences or complaints

2.5 Direct Marketing

Your information is not provided to any third parties for direct marketing purpose.

3) Disclosure

3.1 General

We may disclose your personal information for any of the purposes for which it is primarily held or for a lawful related purpose. We may disclose your personal information where we are under a legal duty to do so. Disclosure will usually be:

  • internally and to our related entities

  • to our Clients

  • to Referees for suitability and screening purposes

3.2 Other

We outsource a number of services to contracted service suppliers (CSPs) from time to time. Our CSPs may see some of your personal information. Typically our CSPs would include:

  • I.T, software and computing suppliers and designers;

  • Legal and other professional advisors;

  • Insurance brokers, loss assessors and underwriters;

  • Superannuation fund managers;

  • Background checking and screening agents;

  • Workcover

  • Government agencies for example Centrelink.

We take reasonable steps to ensure that terms of service with our CSPs recognise that we are bound by obligations to protect the privacy of your personal information and that they will not do anything that would cause us to breach those obligations. 

4) Security

STATIM monitors compliance with foundU’s platforms to ensure all reasonable steps are taken to ensure that all Personal Information held is secure.  In order to prevent unauthorised access or disclosure, foundU have established suitable physical, electronic and managerial procedures to safeguard and secure information collected through the website and the foundU Platform. Refer to the Data Protection and Retention policy.

5) Accessing personal information

A person may request access to Personal Information about them held by us. Such a request is to be made in writing to the Privacy Officer. We will grant the applicant access to their Personal Information as soon as possible, subject to request circumstances.

We will take reasonable steps to ensure the accuracy and completeness of the Personal Information held. Where an individual believes Personal Information held is inaccurate or out of date they should contact us in writing to the Privacy Officer. 

6) Concerns

If an individual has any concerns about the Privacy Policy, they should contact us in writing to the Privacy Officer.
